This Refund Policy explains the conditions under which refunds may be requested and processed for services provided by NexoraMatrix (“Company”, “we”, “our”, “us”).
By purchasing our services, you agree to this Refund Policy.
1. General Overview
NexoraMatrix provides digital and IT services including web development, software development, UI/UX design, cloud solutions, and consulting.
Due to the nature of digital services:
- Work begins shortly after payment confirmation
- Resources, time, and effort are allocated immediately
- Therefore, refunds are limited and subject to the conditions below
2. Eligible Refund Scenarios
Refunds may be considered only in the following cases:
a) Duplicate Payment
If a client is accidentally charged more than once for the same invoice or service, the duplicate amount will be refunded in full.
b) Service Not Started
If a refund request is made before any work has started or resources have been allocated, the Company may issue:
- Full refund (minus any payment gateway processing fees), or
- Partial refund depending on administrative handling costs
c) Non-Delivery (Verified Case)
If NexoraMatrix is unable to deliver the agreed service and:
- No significant work has been completed, and
- The issue is verified internally after review
Then a partial or full refund may be issued at our discretion.
3. Non-Refundable Cases
Refunds will NOT be issued in the following situations:
- After work on the project has started
- After design, development, or planning has been initiated
- Change of mind after purchase
- Client delay or lack of communication
- Dissatisfaction based on subjective preference after agreed requirements were fulfilled
- Completed or partially delivered milestones
- Failure to provide required content or information by client
4. Milestone-Based Projects
For larger or custom projects:
- Payments may be divided into milestones
- Each milestone payment becomes non-refundable once that phase has started or been completed
- If a project is cancelled mid-way, only unstarted milestones may be reviewed for partial refund consideration
5. Payment Processing (Stripe & Others)
All payments are processed through secure third-party payment processors such as Stripe.
- Approved refunds are returned to the original payment method
- Processing time is typically 5–10 business days, depending on the payment provider
- Any transaction or processing fees charged by payment gateways may be non-refundable
6. Cancellation Policy
Clients may request cancellation of a project at any time.
However:
- If work has not started → eligible for refund review
- If work has started → cancellation does not guarantee refund
- Completed milestones or delivered work will be charged in full
7. Chargebacks & Disputes
Before initiating any chargeback or payment dispute, clients must contact us at:
We encourage resolving issues directly to avoid unnecessary disputes.
Unjustified chargebacks may result in:
- Suspension of ongoing services
- Termination of future access to services
- Legal or collection actions if applicable
8. Client Responsibility
Refund eligibility may be affected if the client:
- Fails to provide required information on time
- Delays communication significantly
- Requests major changes outside agreed project scope
9. Policy Updates
We reserve the right to update this Refund Policy at any time. Continued use of our services means acceptance of the updated version.
